1. Who We Are

FocusFirst Tutors LLC, trading as FocusFirst Tutors, is responsible for the personal information described in this policy. This policy covers our UK website, focusfirsttutors.co.uk, and our online tutoring enquiries and services for UK families.

We explain what information we collect, why we use it, who may receive it and your rights under UK data protection law. This policy is a privacy notice, not a request for blanket consent.

For privacy enquiries, contact info@focusfirsttutors.com.

2. Information We Collect

  • Parent or guardian details: name, phone number, email address and correspondence about an enquiry or booking.
  • Tuition information: school year, subjects, learning goals, relevant assessment information, attendance, homework and progress feedback.
  • Booking and payment records: lesson arrangements, invoices, payment amounts, dates and bank-transfer references.
  • Website information: technical information such as IP address, browser type and security logs, and information from cookies or tracking tools where used.

We obtain information from you through our website, Facebook or Instagram lead forms, WhatsApp, email, phone and tutoring activities. Tutors may provide lesson feedback and progress information.

Please provide only information relevant to your enquiry. Do not submit a child's full name, medical information or other sensitive details through an advertising lead form.

3. Facebook, Instagram and Enquiry Follow-Up

Our Meta lead forms request the parent or guardian's name, phone number, optional email address and tuition preferences. Required and optional fields are identified in the form.

We use these details to respond to your enquiry, discuss tutoring needs and arrange a free trial. We may contact you by WhatsApp, phone or email using the details you provide. We cannot arrange or respond to an enquiry without sufficient contact information.

Submitting an enquiry does not automatically subscribe you to unrelated promotional messages. If we seek consent for ongoing promotional communications, we will request it separately. You can ask us to stop promotional messages at any time.

Meta and WhatsApp also handle information under their own privacy policies. You can read Meta's Privacy Policy and WhatsApp's Privacy Policy.

4. Why We Use Information and Our Lawful Bases

  • Contract and steps requested before a contract: responding to trial or booking requests, administering parent or guardian bookings and delivering agreed services.
  • Legitimate interests: managing relevant student learning information, matching tutors, monitoring progress, responding to support queries, protecting our services and handling disputes. Our interests are providing effective tuition and operating a secure service, balanced against the rights of parents and children.
  • Legal obligations: maintaining records and responding to lawful requests where required by applicable law.
  • Consent: activities that require it, such as relevant promotional communications or consent-based tracking. Where we rely on consent, you may withdraw it without affecting the lawfulness of earlier use.

If additional support requires health or other special-category information, we will explain why it is needed and the applicable legal basis and condition before collecting it.

We do not sell or rent personal information.

5. UK Bank Transfer Payments

Payments are made by UK bank transfer using the Faster Payments System. We use payment confirmations and transaction information to reconcile invoices and administer your tuition package.

Bank-transfer records may show the payer's name, payment reference, amount, date and other details supplied by the banks involved. Your bank and the receiving bank process payment information under their own privacy notices.

We do not request your online banking password, PIN or one-time security codes. Please avoid including unnecessary personal information in payment references or screenshots.

6. Who May Receive Information

Information may be shared, where necessary, with:

  • Tutors who need relevant learning information to deliver lessons.
  • Authorised administration and support personnel who manage enquiries and bookings.
  • Providers of website hosting, communications, virtual classrooms, digital whiteboards, record storage and other service tools.
  • Banks and professional advisers where needed for payment administration, accounting or legal matters.
  • Authorities where disclosure is required by law.

We limit the information shared to what is needed for the relevant purpose. Providers may act on our instructions or, for some activities, as independent controllers under their own privacy policies.

7. Access Outside the UK

Although this website serves UK families, authorised administration personnel or tutors may access information from Pakistan. Information may also be processed in the United States or other countries where our service providers operate.

UK data protection rules may require safeguards for these arrangements. You can contact us for details of the relevant processing locations and any applicable transfer safeguards, including how to obtain a copy.

8. Keeping Information Secure

We aim to protect information against unauthorised access, loss and misuse. Access should be limited to authorised people who need information to perform their role, with appropriate account security and careful handling of records.

No online service can guarantee complete security. Please do not share passwords or banking security codes through email or WhatsApp. If you suspect misuse of your information, contact us promptly.

9. How Long We Keep Information

We retain information only for as long as needed for its purpose. Retention depends on:

  • Whether an enquiry is still active and whether further contact has been requested.
  • Whether tuition is ongoing and the information is needed for lessons or progress reviews.
  • Applicable accounting, tax and other record-keeping requirements.
  • Whether records are needed to resolve a complaint, dispute or legal claim.

Information that is no longer needed should be deleted or anonymised. You can ask us about the retention criteria for a particular record or request deletion, subject to applicable legal requirements.

10. Cookies and Website Tracking

Essential cookies and similar technologies may be needed for website functionality and security. Other tools may be used for analytics or advertising measurement.

Where consent is required, it must be obtained before the relevant technology is used. Advertising tracking, including Meta Pixel if installed, should be explained in the website's cookie information and controlled through the relevant consent settings. Browser settings alone do not replace consent where it is required.

You can also manage cookies through your browser. Blocking essential cookies may affect some website functions.

11. Children and Learning Information

Our advertising enquiry forms are intended for adults. A parent or guardian should arrange tuition for a student under 18.

We use relevant student information to deliver and support tuition. We do not use children's learning records for targeted advertising. Parents or guardians may raise privacy requests on a child's behalf where appropriate; children's own rights and best interests must also be considered.

If a lesson is to be recorded, we will explain the purpose, access and retention arrangements before recording and obtain any permissions required. Public use of student images, recordings or feedback requires a separate, appropriate permission process.

12. Your UK Privacy Rights

Depending on the circumstances and lawful basis, you may have rights to:

  • Access your personal information.
  • Correct inaccurate or incomplete information.
  • Request deletion or restrict how information is used.
  • Receive certain information in a portable format.
  • Withdraw consent where processing relies on it.
Right to object: you can object to use based on legitimate interests. You can object to direct marketing at any time.

Send requests to info@focusfirsttutors.com. We may need to verify your identity and will respond within applicable statutory time limits, normally one month, subject to permitted extensions or exceptions.

You can complain to the UK Information Commissioner's Office (ICO) at ico.org.uk/make-a-complaint/ or call 0303 123 1113. You may contact the ICO without first contacting us.

13. Updates to This Policy

We may update this notice when our services or information-handling practices change. The latest version will be published at this address with an updated date. Where necessary, we will bring significant changes to your attention or seek fresh consent.
